There are several new eProcurement and Expenses Job Aids now available in the Job Aids page. Some of these show how to run Budget Reports. Other Job Aids have also been updated there. You'll know which ones they are by the "NEW" or "UPDATED" words next to their titles. To view these Job Aids, click the Read and Learn link (the light bulb icon on this page) and then click the Job Aids link. Scroll the page up until you find the ePro or Expenses sections.

PAR Cut-Off Update

Jan. 19 was the last day for traditional sites and central offices to submit PARs.

Friday, Jan. 22, is the last day for year-round sites to submit PARs.

During the PAR cut-off period, Jan. 23-Feb. 11, ALL sites will still be able to submit Termination, Leave of Absence and Salary Change PARs.

After Jan. 22, if a site has a critical change that will affect employee pay (such as a new hire, FTE change or classified transfer from year round to traditional site), please contact the PAR Triage Hotline at (619) 725-8101 and a PAR will be created by HR.

On Tuesday, Feb. 16, all sites will be able to submit all PAR types again.

Cancellation of Obsolete PARs: To expedite processing of current PARs, all obsolete PARs (those requested prior to Jan. 1, 2009) will be cancelled by the system by Jan. 22, 2010.

Reconfiguration of Position Management module in PeopleSoft HCM

To allow central office to process all current PARs (over 1300), a PAR cut-off of 1/19/2010 for traditional calendar sites and Central Office Departments and 1/22/2010 for year-round sites.

The newly reconfigured Position Management module in PeopleSoft HCM will ‘go-live’ in mid February 2010.

Who will be affected by the changes to Position Management?
Site staff that are responsible for submitting or approving PARs and reviewing Allocation Status and Filled Position reports will be affected by the reconfiguration of Position Management.Why is Position Management being reconfigured?The current configuration of Position Management at the District allows multiple people to share the same position number. In order to reduce the amount of manual intervention of staff to maintain and process data and to enhance the District’s ability to adequately project and monitor salary and benefit costs, a project is underway to reconfigure to a one-position-to-one person relationship for salaried positions. (Hourly positions will not be affected.)

How does the reconfiguration of Position Management affect me?
Representatives from HR, Finance and IT have been working with site representatives and consultants from Empower Solutions for several months on implementation tasks. Although detailed information and updated training materials will be available for you in January, some initial information is being provided to give you a preview of some of the changes. The following topics are relevant to site staff that are responsible for submitting or approving PARs and reviewing Allocation Status and Filled Position reports:

PARs
Converting to the new one-to-one configuration will require some changes on the PAR. These changes will be identified on all of the related job aides, handbooks and documentation. It’s not anticipated that they will be significant enough to require classroom training. In addition to the updated documentation, the IT Training group will hold Open Labs to assist staff with the new and changed functions of the PAR.

Because of the renumbering/conversion of positions, a PAR Cut-Off will go into effect 1/18/2010. No PARs will be submitted after this date until after the Position Management project go-live in mid-February. This will give HR and Budget some time to complete or cancel all remaining PARs in the bin before go-live.

Position Number Conversion
All positions currently start with a ‘1’. During the conversion to the new one-to-one model, all new salaried positions created from conversion will start with a ‘2’. All positions created after go-live will start with a ‘3’. This ensures a relatively easy method to track pre, converted and post go-live positions.

Organizational Structure – Reports to
In order to use some of the self-service and workflow functions available and to eventually produce organization charts, the organization structure must be defined and built into PeopleSoft. An initial pass during the project conversion will update the ‘reports to’ field on the new positions with the highest level position in the same department. There will be additional information gathering and work post go-live to get the true supervisory position identified for each position. Then ongoing reporting changes will be identified by sites through the PAR.

PeopleSoft Financial System Maintenance on Saturday, 12/12/09

On Saturday, December 12, 2009 the Information Technology Department will perform maintenance on the PeopleSoft Financial application.

The PeopleSoft Financial application (including ePro, Travel & Expenses, etc.) will be unavailable from approximately 8:00 a.m. until 4:00 p.m.

This maintenance contains fixes and shouldn't affect any functionality. The outage will NOT affect HCM or EPM applications.

PeopleSoft HCM System Maintenance on Saturday

On Saturday, October 24, 2009 the Information Technology Department will perform maintenance on the PeopleSoft HCM application.

The PeopleSoft HCM application (including Time & Labor, PAR, Recruitment, etc.) will be unavailable from approximately 8:00 a.m. until 3:00 p.m.

This maintenance contains fixes and shouldn't affect any functionality. The outage will NOT affect Financial or EPM applications.


NEW eProcurement Budget Report

You can run a report in PeopleSoft Financials that gives you the following up to date information about all the ePro requisitions submitted for your cost center (school or any district department):

  • Short description of items ordered
  • Quantities ordered
  • Dollar amounts spent (pre-tax)
  • Current status of requisitions
  • Budget-Checking status
  • Requester IDs (who placed the order)
  • Chartfield strings used (which budgets were used to pay for items)

Once you run the report you can download the results into an Excel spreadsheet which allows you to edit, filter, and otherwise manipulate the information in the report.

Register for Training using ERO
On August 1, 2009, the Information Technology Division and all departments that administer District Professional Development and Training activated a new web-based system called Electronic Registrar On-Line (ERO).

This is now the only way to register for PeopleSoft training sessions.

You can access ERO’s login page directly by going to http://sandi.net/ero. It is recommended that you review the job aid available at http://sandi.net/peoplesoft/training/ERO_jobaid.pdf before logging in.

If you have a particular training interest offered by SDUSD (or if you want further information regarding different training subject areas), click the related link below to access the specific training pages. Each page includes a link to the ERO login page and an accompanying job aid to help you with using the system.

PeopleSoft Open Lab Change for August 21

Although there will be an Open Lab held on August 21st where you can receive assistance with PeopleSoft Financials or Zangle issues, there will not be any assistance available that day for PeopleSoft Human Resources (Time and Labor, PAR).

Open Lab exists to provide in-person guidance to those district employees who have already attended PeopleSoft training classes, but need a little help with using the software. Open Lab does not provide training. Open Lab takes place in room B5 at the Fremont Training Canter in Old Town. The PeopleSoft Financial 8.9 application will be unavailable from 8:00 a.m. until approximately 4:00 p.m on Sunday, July 26.

Description: The Procurement department will be rolling PO’s and requires that the financial application be unavailable to all other users. Doing the PO Roll is a normal year-end function that requires Budget Checking to be turned off. Processes that need budget checking such as ePro and Expenses cannot run during this time.
