Attendance
  • When reporting attendance, should the "W" code be used both in the morning and in the afternoon?
    Yes, this is true at both elementary and secondary levels.

  • Can the "W" code be used for tardies over 30 minutes in the morning or for students leaving with unexcused reasons over 30 minutes in the afternoon? (Secondary only)
    Yes. The "W" code can be used in any period absence and should be posted in the all day field.

  • What is ADA (Average Daily Attendance)?
    ADA (Average Daily Attendance) is best explained this way:

    All students attending negative attendance sites earn daily ADA for every day
    they are in attendance. Schools are in session for 180 days.

    The State basic revenue limit for 2008-09 is $ tbd. That means that if a
    student was in attendance every single day for 180 days, they would earn 1.00
    ADA, which equals $ tbd for the total year. Most schools in the district are
    negative attendance schools.

    For a daily rate, take the revenue limit and divide it by 180, and you get $ tbd
    per student per day.

    Students who are in positive attendance programs, such as Continuation
    schools, earn ADA based on the hours they are in attendance at the site. In this
    case, if a student was in class for weekly required hours for all 180 days, they
    would earn 1.00 ADA. It is never possible to earn more that 1.00 ADA per
    student.

    Students who are in Hourly programs, such as Summer School, or Intersession,
    earn an hourly rate of $ tbd/hour for each hour they are in attendance. The rate
    is the same for all hourly programs such as Focus, CAHSEE, or EDRP. This rate
    does not translate into ADA as these programs are not held during regular
    school.

    Additional funding may be earned for students who are designated as Special
    Education students. However, their base ADA rate is the same as other students.

  • What is the cutoff date for students going to Saturday School?
    The date for the 2008-2009 school year is 3/20/2009. Absences past this date can still be made up in Saturday school, but ADA will not be recouped for them. Remember that Saturday school can be held all the way to the end of the year.

  • How many absences can a student have before failing the grade?
    There is no set number of days. The decision to retain the student is made at the site. The number of days missed may be considered as part of the decision to retain.

CIS FAQ

  • Do I need to use a log to track CIS contracts?
    Yes. This is a state requirement and is necessary at both elementary and secondary levels.

  • Do we get funding for CIS contracts of any length?
    No. We don't get funding for any contracts that are less than 5 days. We also don't receive funding for contracts that are missing any signatures, that are dated after the fact, and do not have a sample of the student's work attached.

Enrollment FAQ

  • Can I drop an 'early out' student?
    There is no early out option. If the student plans to continue at your school or the feeder school in the next year, you must carry the student through the end of the year with an "E" code.

  • Are Enrollment cards permanent records?
    YES! Enrollment cards are permanent records and must be kept indefinitely. Box and store the enrollment cards each year. Do not destroy enrollment cards. EVER! You can contact Student Records Dept. at 858-627-7306 for information on when to send in your records. They also send a bulletin out every year regarding record retention. You can also refer to the Administrative Procedures regarding Student Records.

  • Do I need to put an enter date on the enrollment card for returning students?
    Yes. This was an exception item on the district audit. Even if the student is a returning student and starting school on the first day, an enter date must be documented on the card. Use a date stamp to save time.
