Navigating the Classroom Budget Cuts

On Saturday, June 13, from 2-5 p.m., Board Vice President Richard Barrera invites administrators, employees, families and school supporters to a community meeting on the budget cuts. Breakout sessions include: Volunteering in the Classroom; Creative Music, Art, Sports and After-School Enrichment Programs; School Accountability; and Legislative Action. The event will take place at San Diego City College. See fliers (English Adobe PDF | Spanish Adobe PDF) for more information.

Purchase Card Program Suspended

Based on action by the Board of Education on June 2, the Pcard program is suspended until further notice. Purchases already made must be reconciled and approved during the regular reconciliation period of June 16-29, 2009. Exceptions require approval from Deputy Superintendent Chuck Morris. Please use the existing exception form, and send directly to Dr. Morris’ office for approval. If approved, the form will be forwarded to the controller who will notify the cardholder when the limit has been changed. Contact Julie Nguyen at (619) 725-7669 or Sandy Davis at (619) 725-7756 if you have any questions.

Closeout of Travel Authorizations

Travel authorizations must be closed out in the same fiscal year as when they were approved by a branch manager. To do so, an expense report should be created using the "copy from travel authorization" option. Expense reports must be submitted and processed even when the only expenses were prepaid. This step is critical to ensure all encumbrances are properly reversed and all expenses are properly recognized in department budgets. Employees should submit expense reports within two weeks of returning from an authorized event.

The only travel authorizations that should remain in an approved status are those created this fiscal year for events taking place on or after July 1, 2009. These travel authorizations will "roll over" and encumbrances will be re-established within 2009-10 budgets. Please contact Accounts Payable for questions.
